We are seeking a highly organized, proactive, and detail-oriented Office Administrator to join our growing team. The Office Administrator will be responsible for ensuring the smooth and efficient operation of our office environment, providing essential administrative support to various departments, and contributing to a positive and productive workplace culture. This role is critical to maintaining our daily operations and supporting our team’s success.Ā
Key Responsibilities:Ā
Office Management:Ā
- Oversee general office operations, including maintaining a tidy and organized workspace. Manage office supplies inventory, place orders, and ensure cost effective purchasing.Ā
- Handle incoming and outgoing mail and packages.Ā
Administrative Support:Ā
- Provide administrative support to all the departments.Ā
- Schedule and coordinate meetings, appointments, and travel arrangements for associates as required.Ā
- Manage calendars and provide reminders for key deadlines and events.Ā
Reception & Communication:Ā
- Act as the primary point of contact for visitors, clients, and vendors, greeting them professionally.Ā
- Answer and direct phone calls and emails in a professional and timely manner. o Manage company communication channels.
HR & Employee Support:Ā
- Assist with onboarding new employees.Ā
- Help organize company events, team-building activities.Ā
- Maintain employee records confidentially.Ā
- Act as a liaison between employees and management on certain administrative matters.Ā
Financial Administration (as needed/applicable):Ā
- Process invoices and expense reports. Track and reconcile office-related expenditures.Ā
Other Duties:Ā
- Undertake special projects and assignments as directed by management. o Continuously seek ways to improve office efficiency and processes.Ā
Qualifications:Ā
Education: High school diploma or equivalent required. Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.Ā
Experience: 1 – 2 years of proven experience as an Office Administrator, Office Manager, Administrative Assistant, or similar role.Ā
Skills & Competencies:Ā
- Excellent verbal and written communication skills.Ā
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.Ā
- Strong organizational and time management skills with the ability to prioritize tasks effectively.Ā
- Exceptional attention to detail and accuracy.Ā
- Ability to work independently with minimal supervision and as part of a team. o Proactive, resourceful, and problem-solving attitude.Ā
- Discretion and ability to handle confidential information.Ā
- Strong interpersonal skills and a professional demeanour.Ā
- Ability to adapt to changing priorities and a fast-paced environment.Ā
